Bayou Glamping Co. – Terms and Conditions

These Terms govern all accommodations, rentals, and activities (“Services”) offered by Bayou Glamping Co. (“Company”). By booking a stay, renting equipment, or participating in activities, you (“Guest”) agree to these Terms.

1. Check-In & Check-Out

  • Check-in: 2:00 PM

  • Check-out: 10:00 AM

  • Glamping Tent reservations: Guests outside of the original booking are not permitted on property.

  • Complete Riverside Retreat bookings: All guests and visitors must be confirmed in advance with Bayou Glamping Co.

2. Locations & Mobility

  • Our primary accommodations and activities are based at 3669 Cayton Road, Westlake, LA 70669.

  • Bayou Glamping Co. may host mobile activities or off-site experiences. Guests are solely responsible for their own transportation and safety to and from such locations. The Company assumes no liability for incidents occurring outside of its managed property.

3. Payments & Cancellations

  • Bookings are confirmed only after full payment.

  • Cancellations 14+ days prior to arrival: Full refund minus administrative fees:

    • $10 campsite

    • $30 rental units

    • $300 Complete Riverside Retreat

  • Cancellations less than 14 days prior: No refunds, including no-shows or early departures.

  • Rescheduling: Requests must be made 14+ days in advance and rescheduled within 3 months. An administrative fee equal to 50% of the applicable cancellation fee applies.

  • Force Majeure: Bayou Glamping Co. is not liable for cancellations due to acts of God, weather events, government orders, or other events beyond its control. Refunds or rescheduling in such cases are at the Company’s sole discretion.

4. Rules of Conduct

  • Guests must comply with all posted rules, staff instructions, and local laws.

  • Pets are not allowed.

  • Quiet hours and safety protocols must be respected.

  • Violation of any rule may result in immediate removal without refund. The Company’s management has sole discretion to determine violations.

5. Water-Based & Land-Based Activities

  • All participants must sign a Liability Waiver before participation.

  • All participants 18 and under must wear a U.S. Coast Guard–approved life vest at all times. Life vests are strongly recommended for all participants.

  • Equipment (kayaks, paddles, vests, bikes, etc.) must be returned in good condition. Guests are financially responsible for all loss, theft, or damage beyond normal wear and tear. The Company may charge repair or replacement fees, which may exceed $800 if the replacement value is higher.

6. Assumption of Risk

Guests acknowledge that accessing the property and any activities such as camping, kayaking, boating, fishing, and similar activities carry inherent risks (including injury, drowning, wildlife encounters, illness, or property damage). Guests voluntarily understand and assume all such risks.

7. Release of Liability & Indemnification

Guests agree to release, waive, and hold harmless Bayou Glamping Co., its owners, affiliates, contractors, employees, and partners from all liability, claims, or demands for injury, loss, or damage arising out of participation in any activity or stay.

Guests further agree to indemnify and defend Bayou Glamping Co. from any third-party claims, damages, or expenses resulting from the Guest’s actions, negligence, or violation of these Terms.

8. No Refund Policy

No refunds are provided for early departures, discomfort due to weather, or personal scheduling conflicts. This includes no-shows and early check-outs.

9. Privacy & Media

Guests consent to the use of photos and videos taken on property for promotional purposes unless a written request to opt out is provided.

10. Property Damage

Guests are responsible for all damages they cause to accommodations, equipment, or property. The Company may charge repair or replacement costs without prior approval from the Guest.

11. Final Authority

Bayou Glamping Co. reserves the right to update these Terms at any time. The interpretation and enforcement of these Terms are at the sole discretion of the Company’s management.

By booking a stay, renting equipment, or signing a waiver, you confirm that you have read, understood, and agree to these Terms and Conditions.
